How to apply for your diploma

Once you have completed all components of your examination programme, you will automatically receive a notification that you can apply for your diploma. In Osiris, under ‘Cases’, your diploma application will be available for you to review and submit. The application consists of two steps:

1. Diploma application: you check your study progress overview (SVO) and confirm your graduation date.
2. Thesis registration: you upload a copy of your thesis to the thesis repository and indicate whether it may be made publicly accessible.

Make sure to apply for your diploma within four weeks after obtaining your last result. If you don’t, the date you submit your diploma application will be recorded as your graduation date.

Processing your diploma application

You can track the status of your diploma application via your progress page in Osiris. Once approved, your diploma details will be recorded in Osiris and forwarded to DUO. From that moment on, you can request an extract of your diploma via the . Once the entire procedure is complete, you will receive a confirmation on your RU email address. If you do not receive a confirmation, please contact STIP FFTR to check whether your application has been received.
 

Applying for your diploma

You can apply for a diploma from the Faculty of Arts via Osiris Case (Zaak in Dutch). Once you have completed all parts of your examination program, you will automatically receive a message that you can apply for your diploma. Make sure you request your diploma within 4 weeks of your last obtained result.

In Osiris Case, a Diploma Application Case is automatically started for you, which consists of 2 steps:

1. A Case questionnaire form is available for you in Osiris in which you answer questions about your study progress overview (SVO) , agree to your graduation date, and select the date of your graduation ceremony.
2. A second Case form will then be started for you, in which you are asked to provide 3 documents:
   1. A PDF copy of your thesis
   2. A completed plagiarism form (pdf)
   3. A permission form for your thesis to be included and made available to others in the Radboud Thesis Repository (pdf) Please note! Before submitting your thesis for inclusion in the thesis repository, please remove any personal information you do not wish to make public (e.g. an e-mail address, telephone number, home address or signature).

After submitting Cases 1 and 2, you will receive a confirmation of receipt of your graduation application at your @ru.nl email address. 

• Are you eligible for the profile certificate of the master's programme in Communicatie en Beïnvloeding or Global Communication & Diversity? Then fill in this form for C&B and this form for GC&D.
• Are you a Bachelor's student of CIW or IBC? Then download the document Personal questions and add it as an attachment under step 1.

If you need a statement to prove you have completed your Bachelor's or Master's programme in the meantime, for example for work or (further) study, you can apply for a graduation statement using this form.

Once you have submitted the form, you will receive confirmation at your @ru.nl email address that your application for your diploma has been received. If you do not receive a confirmation email, please contact the Student Information Desk (stip [at] let.ru.nl) to check whether your application has been received.

You can submit an application for your diploma up to six weeks before the graduation ceremony. If you are unable to attend the graduation ceremony, you can submit a request to your study programme’s Examination Board to collect your diploma from the reception desk. Be sure to explain the reason for your absence in your application.

When you need a certified letter that you completed your Bachelor's or (pre-)Master's programme or that you are expected to complete your Bachelor's or (pre-)Master's programma before 31 August, you can request such a letter below.

When can you apply for your diploma?

How to apply for your diploma differs for all programs in the Faculty of Medical Sciences.

Medicine (GNK) / Bachelor of Biomedical Sciences (BMW) / Biomedical Sciences (BMS)

You must submit a digital request to graduate, see below. You must have submitted this at least four weeks before the meeting of the examination board. This may be done earlier.

Prerequisites:

• All parts of your program are approved (at least three months before graduation) by the examination board;
• You have successfully completed all examinations that are part of your program and all grades/results have been processed in Osiris (at least two weeks before the meeting of the examination board);
• You have made a formal request for graduation (you do not have to wait with the request until you have passed every required part).

Dentistry

You must submit a digital request to graduate, see below. You must have submitted this at least four weeks before the meeting of the examination board. This may be done earlier.

Prerequisites:

• You have successfully completed all examinations that are part of your program and all grades/results have been processed in Osiris (at least two weeks before the meeting of the examination board);
• You have made a formal request for graduation (you do not have to wait with the request until you have passed every required part).

Molecular Mechanisms of Disease (MMD)

Nominally studying students will be notified during their second year of study.

The following applies to students who are not nominal students:

• You must submit a digital request to graduate via Topdesk, see below. You must have submitted this at least two weeks before the meeting of the examination board. This may be done earlier. To do this, use the Final Study plan, which can be found on MMD's Brightspace page;
• You have successfully completed all examinations that are part of your program and all grades/results have been processed in Osiris (at least two weeks before the meeting of the examination board).

Exam date and deregistration date

For Medicine, BMW, BMS and Dentistry, the exam date is the date of the results meeting of the examination board. Until and including this date, you must be enrolled at uu77 Nijmegen.

For MMD, for non-nominal students, the date of the examination is the date of the meeting of the board of examiners at which the examination is set. For nominal students, the exam date is the last day of the second academic year. Until and including this date you must be enrolled at uu77 Nijmegen.

Approval of the study programme

In order to graduate from a Bachelor’s or Master’s programme, the programme must be approved. Ensure that your programme is approved in time. We would urge you to submit this request three months before you intend to graduate. More information and the necessary forms can be found under ‘Applying for programme approval’.

If any changes are made to your programme after you have submitted your request, please email the details to fnwi.examcies [at] science.ru.nl (fnwi[dot]examcies[at]science[dot]ru[dot]nl). 

Please note: You will receive a decision from the Examination Board within four weeks. Once your programme has been approved by the Examination Board, the examination administration will ensure that the courses that you have successfully completed by that time are presented correctly in the Study Progress Report.

You can apply for your exam as soon as all of your grades have been entered in Osiris. You can apply for your exam up until the day of the exam date. The exam dates and conditions for the speaker during your Master's graduation are listed below.

Conditions for speaker Master's graduation

During your Master's graduation ceremony, a staff member will give a speech about you. This is a requirement for participating in the graduation ceremony. You must ask someone to give this speech and provide their name when applying for your diploma. The person giving the speech is usually your internal internship supervisor, but it can also be your external internship supervisor or one of your lecturers. Discuss with the speaker whether they are willing to speak at your graduation ceremony, write a speech, or record a video if they cannot attend the ceremony in person.

Following the application

Once your application has been approved, you will receive a message within eight weeks of your exam date that confirms that you have passed your exam. You will receive an invitation about three weeks before the graduation ceremony is held, provided that you have indicated that you wish to attend the graduation ceremony.

Applying for your Bachelor's diploma

If you have completed additional Bachelor’s courses at the Faculty of Law that fall outside the standard curriculum and these have not been included in another diploma, they may possibly be included as extra-curricular courses. In such situations, please provide the names of these courses below. Courses that have been successfully completed at another faculty (such as the Nijmegen School of Management) will not be included as extra-curricular courses. If you graduate from a Bachelor’s programme before 1 June, you will be eligible for a refund of the excess tuition fees.

Requesting Master exam

Procedure

The procedure for the request to graduate is as follows:

1. When the thesis supervisor has assessed the Master thesis as sufficient, the supervisor will hand in a certificate of approval at the faculty’s student administration. The letter of approval will be visible in Osiris (tab student file) after the student administration has received it.
2. The student administration will send you an e-mail (@student.ru.nl) on receipt containing the link to the application form for graduation.
3. You fill out the application form. In order to do so, you need the following data:
   • Thesis supervisor’s name (first reader) and second reader.
   • Two preferred graduation dates, which have been decided with the thesis supervisor (with a minimal timespan of four weeks after the date on which you submitted the application form).
   • The course name for which you wrote the Master thesis. 
   In the application form you can indicate if you will follow the standard graduation procedure (as explained in this procedure) or the internal graduation procedure (in consultation with the International Office).
4. The transcript will be presented to the examination board for approval after the application form has been received by the student administration. While waiting for the final thesis grade, the student administration will add a temporary result PM (MI - Memorandum Item) to your transcript, from which you will receive an automatically send e-mail by Osiris.
5. After the examination board’s approval, your data will be transmitted to the examinations office, who will then reserve a room in the auditorium after which they will directly send you an e-mail with, inter alia, the exam date. If there is no room available in the auditorium on both the preferred dates, an examinations office employee will contact you by telephone to set up a new date.
6. The examinations office will send you and your supervisors an e-mail with an official invitation about two weeks before the graduation date.

Application deadline

The timespan between the exam request at the examinations office and the graduation date is at least four weeks. This means you have to apply for your graduation on time!

Also, you must be registered for the relevant Master at all times in order to graduate!

Please note: In accordance with the university annual timetable, it is not possible to graduate according to the standard graduation procedure from 15 July 2024 until 9 August 2024.

In case of circumstances that make it difficult to graduate within the time-framework of the standard graduation procedure, the Faculty of Law offers an internal graduation procedure. Graduation

The official Master exam consists of a discussion of the thesis with the examinations board, the ’thesis presentation’.  You are expected to be able to present the thesis subject and to discuss the recent developments (regarding literature, case-law, and practice) in the field. This meeting is usually private and will take about 45 minutes. When there is the need to have a public meeting, this is possible in consultation with the teachers. The final grade will be determined on the basis of the content of the thesis and your thesis presentation.

The examination board will reward the diploma and the transcript, containing the thesis grade, after the meeting. It goes without saying that friends and family are cordially invited to attend.

Keep this in mind

• In order to qualify for adjudication you must meet the requirements.
• Students may, in principle, have been excused from the programme for a maximum of 50% and they must have followed and achieved the programme at the Faculty of Law (uu77) for a minimum of 50%.
• If you want to graduate in two specialisations of the same programme, you must have met all the requirements of both specialisations (including letter(s) of approval). When in doubt, ask for the relevant procedure at your student advisor.

Cum laude

The Examination Board will award the distinction “cum laude” in the event the
weighed average result of all components taken together equals or is higher than 8.0. All exams should be passed at the first exam opportunity.

Additional information for Master's specialization Behaviour Change

When you have completed the Master's specialization Behaviour Change, you have written a thesis and an advisory report. When uploading your thesis in Osiris, you should therefore upload both your thesis and your advisory report. Please note that the maximum file size is 20 MB. When you indicate in Osiris if your thesis may be made public, this also applies to the advisory report.

Each Master’s programme concludes with the Master’s exam. The content of this exam is documented in the relevant Education and Examination Regulations (EER) and the course guide for the Radboud Teachers Academy. The Radboud Teachers Academy’s Examination Board determines when a student has met the requirements of the Master’s exam.

Applying for a Master’s exam

Use the Master’s Exam Web Form to submit your Master’s exam application. You must do this within four weeks of passing your last exam. Only fully completed applications will be processed. The student administration will process the application and submit it to the Examination Board for review.

Approval by the Examination Board

The Examination Board will then determine whether all of the requirements for the exam have been met and will decide which distinction will be awarded (see EER). Once the Examination Board has given its approval and signed the document, you will receive a Study Progress Report (SVO). Examination applications are registered through Osiris and are then forwarded to the Central Student Administration Office.

Scheduling an examination date

The Central Student Administration Office will perform a procedural check and enter the formal examination date (day, month, year) in Osiris. This information will be shared with DUO. The examination date is usually the date of the last completed exam with an extension of 15 working days (which is the correction deadline). The examination date will be recorded on the certificate and is completely separate from the date on which the diploma will be awarded.
